The Power of Promptness: Why Responding Quickly to Messages Matters More Than You Think

laceymalliard

In today's fast-paced world, communication is king. But with inboxes overflowing and ever-growing to-do lists, it's easy for message response times to slip. As a consultant who thrives on building relationships and getting things done, I can't stress enough the importance of responding to messages quickly. It's not just about courtesy; it's about building trust, boosting efficiency, and ultimately, achieving success.

Why Speed Matters

Let's face it, people expect a response – and they expect it fast. Customers expect a response to their emails within 24 hours. For Social Media messages, they expect it even sooner. While this might not be feasible for every single message, aiming for promptness shows respect for the sender's time and effort.

Building Trust and Rapport

A quick reply acknowledges that the sender's message is important. It shows you're engaged and interested in what they have to say. This builds trust and strengthens relationships, whether it's with a potential client, a colleague, or even a casual contact. People are more likely to do business with, or collaborate with, someone they feel is responsive and reliable.

Keeping the Momentum Going

Imagine you're in the middle of a brainstorming session with a client, ideas flowing back and forth. Suddenly, the conversation stalls because you haven't responded to their last email with some additional thoughts. This delay can kill the momentum and make it harder to regain focus. Prompt responses keep the conversation moving, ensuring care stays on track and any deadlines are met.

Maximizing Efficiency

Let's be honest, delayed responses often lead to follow-up messages, which can clog up inboxes and create confusion- or worse- a previously but now not interested patient. By responding quickly and clearly the first time, you avoid this back-and-forth, saving yourself and the sender valuable time and frustration.

Of Course There Are Exceptions!

While speed is important, it shouldn't come at the expense of quality. If you need more time to research your response, a quick message acknowledging receipt and setting an expectation (e.g., "I'll get back to you by the end of the day") goes a long way. You can also try AI for suggestions when you need helping wording responses.

The Takeaway

In today's hyper-connected world, responsiveness is key. By prioritizing quick and clear communication, you build trust, keep projects moving, and ultimately, position yourself for success- or someone else will. So, ditch the radio silence and make responding to messages a cornerstone of your business strategy. You'll be glad you did.
